Job Title: Accounts Payable Administrator 

Location: Concord, CA (Remote work not available) 

Position: Full Time, Mid-Level

Shift: Monday through Friday, 8AM-5PM

Job Summary

An Accounts Payable Administrator performs accounting and clerical duties related to the efficient maintenance and processing of accounts payable transactions. 

Responsibilities

Payment Management:

    1. Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.

    Accounting System Management:

      1. Reconciles processed work by verifying entries and comparing system reports to balances.
      2. Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
      3. Maintains accounting ledgers by verifying and posting account transactions. 

      Vendor Relationship Management:

      1. Pays vendors by monitoring discount opportunities, verifying federal ID numbers, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
      2. Verifies vendor accounts by reconciling monthly statements and related transactions

      Customer Service: Interact with vendors, management, team members and other staff to understand their needs.

      Qualifications

      • Education: High school diploma required. Some college required with a concentration in Accounting or Finance. An associate degree is preferred.
      • Experience: Previous experience in accounts payable and/or other accounting functions required.
      • Organizational Skills: Effective communication skills, both written and verbal, are essential. Must be able to develop and maintain vendor relationships.
      • Problem-Solving: Ability to analyze data and solve problems efficiently. 
      • Data Entry Skills: 10 key experience preferred.
      • Computer Skills: Proficiency in using MS  office. Knowledge of Accounting software systems.

      Other Needed Skills

      • Ability to learn new technology quickly.
      • Must be reliable.
